The Hirer, by accepting the Code to the building, confirms they have read and agree to the following Conditions and Special Conditions below.

MUST BE PRINTED AND TAKEN WITH YOU TO THE HALL. CODES WILL ONLY BE ISSUED UPON PRESENTATION OF THIS DOCUMENT.
For the purposes of these conditions, the term "Hirer" refers to an individual hirer or, if the hirer is an organisation, the authorised representative. If the Hirer is in any doubt about any part of these conditions, they should consult the Hall Booking Officer:

Supervision: The Hirer is responsible during the hire period for the supervision of the premises, its contents, and fabric. This includes ensuring their care, safety from damage (however slight), and managing the behaviour of all attendees.

Licenses: The Hirer is responsible for obtaining necessary licenses (e.g., for alcohol, music, performances) and complying with their terms.
Gambling: All activities must comply with laws on gaming, betting, and lotteries.
Regulatory Compliance: The Hirer must comply with regulations from the Fire Authority, Local Authority, and Magistrates’ Court, especially for public events.
Food Hygiene: If preparing, serving, or selling food, the Hirer must observe all food safety and hygiene laws.
Electrical Safety: Any electrical appliances brought to the premises must be safe, in good working order, and used safely.
Damage and Indemnity: The Hirer must cover repair costs for any damage to the property or its contents occurring during the hire.
Insurance: The Hirer must arrange third-party liability insurance for their activities. The Hall is insured against claims from its own negligence.
Accidents and Incidents: All accidents involving injury must be recorded in the Accident Log and reported to the Management Committee. Equipment failures must also be reported. Certain incidents may require formal reporting to the local authority.
Animals: No animals, except guide dogs, are allowed unless pre-approved by the Committee. No animals are allowed in the kitchen.
Child Protection: Activities involving children under eight must comply with the Children Act 1989. Only fit and proper persons may supervise children.
Advertising: No unauthorised advertising (e.g., fly-posting) is allowed. The Hirer indemnifies the Trust against related claims.
Fair Trading: The Hirer must comply with Fair Trading Laws if selling goods, ensuring transparent pricing and accurate product descriptions.
Cancellations: If the Hirer cancels, refunds are at the Trust’s discretion unless a replacement booking is secured.
Polling Station Use: The Trust may cancel bookings if the Hall is needed as a Polling Station. A refund will be provided.
Unfit Conditions: The Trust is not liable for losses if the Hall becomes unfit for use.
Termination by Trust: The Trust may cancel bookings with 7 days’ written notice. Refunds will be issued for payments made.
Cleanliness: The Hirer must leave the premises clean, tidy, and secure. Additional charges may apply for non-compliance.
Noise: The Hirer must minimise noise during arrival and departure.Special Conditions
Capacity: No more than 100 people are allowed in the Hall at any time. Seating capacity is limited to 100 guests at tables.
Safety Measures:No candles, pyrotechnics, or open flames.No highly flammable substances.No portable LPG appliances.No flammable gas-filled balloons.No flammable decorations.Additional RequirementsAll equipment must be left clean, and breakages reported.
No smoking anywhere in the building.
No excessive noise that could disturb neighbours.All waste must be secured in black sacks and taken away.All recyclable materials (paper, cardboard, metal, glass) must be removed by the Hirer.Ensure all doors and windows are secured before leaving.Heating should be reset to 12.5°C in winter.Keys must be returned to the Bookings Officer or designated keyholder.The Trust reserves the right to oversee lettings and maintain access to the Hall at all times.
