Shaftesbury Trinity Centre Hall - Conditions of Hire
The Hirer, by accepting the Code to the building, confirms they have read and agree to the following Conditions and Special Conditions below.

This document, along with the Helpful Notes for Hirers, will need to be paid and taken with you to the honest, along with the Helpful Notes for Hirers, MUST BE PRINTED AND TAKEN WITH YOU TO THE HALL. CODES WILL ONLY BE ISSUED UPON PRESENTATION OF THIS DOCUMENT.

For the purposes of these conditions, the term "Hirer" refers to an individual hirer or, if the hirer is an organisation, the authorised representative. Supervision: The Hirer is responsible during the hire period for the supervision of the premises, its contents, and fabric. This includes ensuring their care, safety from damage (however slight), and managing the behaviour of all attendees.

Licenses: The Hirer is responsible for obtaining necessary licenses (e.g., for alcohol, music, performances) and complying with their terms.

Gambling: All activities must comply with laws on gaming, betting, and lotteries.

Regulatory Compliance: The Hirer must comply with regulations from the Fire Authority, Local Authority, and Magistrates’ Court, especially for public events.Food Hygiene: If preparing, serving, or selling food, the Hirer must observe all food safety and hygiene laws.

Electrical Safety: Any electrical appliances brought to the premises must be safe, in good working order, and used safely.

Damage and Indemnity: The Hirer must cover repair costs for any damage to the property or its contents occurring during the hire.

Insurance: The Hirer must arrange third-party liability insurance for their activities. The Hall is insured against claims from its own negligence.

Accidents and Incidents: All accidents involving injury must be recorded in the Accident Log and reported to the Management Committee. Equipment failures must also be reported. Certain incidents may require formal reporting to the local authority.

Animals: No animals, except guide dogs, are allowed unless pre-approved by the Committee. No animals are allowed in the kitchen.

Child Protection: Activities involving children under eight must comply with the Children Act 1989. Only fit and proper persons may supervise children.

Advertising: No unauthorised advertising (e.g., fly-posting) is allowed. The Hirer indemnifies the Trust against related claims.

Fair Trading: The Hirer must comply with Fair Trading Laws if selling goods, ensuring transparent pricing and accurate product descriptions.

Cancellations: If the Hirer cancels, refunds are at the Trust’s discretion unless a replacement booking is secured.

Polling Station Use: The Trust may cancel bookings if the Hall is needed as a Polling Station. A refund will be provided.

Unfit Conditions: The Trust is not liable for losses if the Hall becomes unfit for use.

Termination by Trust: The Trust may cancel bookings with 7 days’ written notice. Refunds will be issued for payments made.

Cleanliness: The Hirer must leave the premises clean, tidy, and secure. Additional charges may apply for non-compliance.

Noise: The Hirer must minimise noise during arrival and departure.Special Conditions

Capacity: No more than 100 people are allowed in the Hall at any time. Seating capacity is limited to 100 guests at tables.

Safety Measures:No candles, pyrotechnics, or open flames.No highly flammable substances.No portable LPG appliances.No flammable gas-filled balloons.No flammable decorations.Additional RequirementsAll equipment must be left clean, and breakages reported.

No smoking anywhere in the building.

No excessive noise that could disturb neighbours.All waste must be secured in black sacks and taken away.All recyclable materials (paper, cardboard, metal, glass) must be removed by the Hirer.Ensure all doors and windows are secured before leaving.Heating should be reset to 12.5°C in winter.Keys must be returned to the Bookings Officer or designated keyholder.The Trust reserves the right to oversee lettings and maintain access to the Hall at all times.
Shaftesbury Trinity Centre Trust Hall – Helpful Notes for Hirers
You are required to have a printed copy of this document, and the Terms and Conditions, in your possession when you collect the code.

1. General Information
All hall users: PLEASE READ these notes before commencing a hiring. The Hirer is responsible for briefing other members of their group.

2. Electricity
Included in the hire fee.
For heating, follow instructions on the room thermostats and ensure they are left as instructed at the end of your session.
Trip switches are mostly in the cupboard under the stairs and are individually marked.

3. Kitchen
Water Heater (for hot water at tap): Use the on/off switch on the wall to the left of the sink (marked).
Knob on heater under sink controls temperature. Warning: Water gets VERY HOT.
Hot Water Boiler (for tea, coffee, etc.):
Switch on half an hour before needed.
Switch on the fan to extract steam and reduce condensation when using the boiler or other appliances causing steam.
Switch off the Water Heater and Boiler after use.
Fridge: Ensure it is switched off after use and the door wedged open with a tea towel or similar.
Dishwasher: Ensure water is emptied at the end of use.

4. Lighting
Outside Lighting: Controlled from switches at both entrances/exits.
Delayed Lighting: Allows illuminated departure at night, available from both entrances. Follow instructions on signs (turn off light switch, then press the round button to activate delayed lighting).
Main Hall Lighting: Switches beside the main door.

5. Fire Alarm
To Silence Alarm: On the control panel high on the wall on the left-hand side at the bottom of the staircase (enter 1, 2, 3, then press 'silence alarm').
Fire Alarm Instruction Sheet: Located in the main hall on the notice board with emergency contact numbers.
Magnetically Controlled Fire Door: In the inner hallway.
In case of fire alarm: The catch will automatically release to allow the door to close.
At other times: Use black release buttons as per the sign. Do NOT force the doors, as it may cause damage.
Do NOT hold doors open with chairs, wedges, or other objects. Fire extinguishers are NOT door-stops.

6. Heating
Follow instructions on the room thermostats and leave them as instructed after your session.
Responsible Hirer: Please double-check controls upon departure.

7. Codes
Code Holders: List available on the main notice board outside the hall.


8. End of Hire Checks

Heater thermostat controls – ensure settings are correct.
Windows – shut and locked.
Fire exits – ensure properly closed.
Kettles – switched off, empty, and rinsed.
Hot water boiler – switched off.
Water heater in kitchen – switched OFF at wall switch.
Fridge – switched off at power point, door left slightly open (wedge with cloth).
Paper towel bins – emptied with new liners inserted.
Waste bins – emptied of decomposable rubbish, new liners inserted. TAKE ALL RECYCLABLE MATERIALS AWAY WITH YOU.
Cleanliness – leave the hall as you would wish to find it, especially the kitchen and toilets.
Optional Cleaning Service: For an additional £50, we can arrange post-event cleaning.
Vacuum cleaner – ensure not full or blocked.
Fire doors – closed. Release the fire door in the inner hallway using the black button.
Parking: Only available in public car parks, NOT on-site.

End of hire checks for Scouts and all Hirers:

Heating is turned off

Windows all shut and locked

Check Fire exits to make sure they are actually shut properly.

Kettles – switched off, empty and rinsed.

Hot water boiler – switched off.

Fridge has been emptied and cleaned.

Dishwasher –please ensure water emptied at end of use.

Ensure Lighting is switched off.

Ensure all areas are Vacuumed and vacuum has been emptied.

Take all rubbish away with you.

Ensure all areas have been cleaned.

To remove the stress of cleaning up after your event, for an additional
fee of £50 we will arrange for the cleaning to be completed.

Ensure all fire doors closed – please release fire door in inner hallway
from magnetic catch by using the black button.
